When Oakvine receives a referral—whether self-referred or from an agency—our clinical outreach team promptly contacts the individual by phone to complete a brief screening to assess current clinical needs and available resources. Treatment options are reviewed, and once a preference is identified, the specialist collects insurance or other funding information and forwards it to billing for verification. After verification, the individual is scheduled for an intake appointment with our admissions department to begin services.
The Oakvine admission specialist, who is a licensed clinician, completes a comprehensive clinical history, reviews program structure and requirements, and works with you to complete all required consents, permissions, and a financial agreement. These documents are sent electronically via DocuSign for secure signature. Once completed and a commitment to treatment is confirmed, a start date is scheduled and an initial therapy session is arranged with your assigned primary counselor to begin services.
To finalize payment arrangements and/or determine eligibility for grant assistance, Oakvine requires certain documentation, including a Texas ID, insurance cards, and any supplemental insurance policy information. This information allows us to verify coverage, assess financial assistance options, and ensure a smooth start to services.
Oakvine’s goal is to start clients in treatment on the next available day. We return all contacts and referrals the same day (with possible delays on weekends) and typically schedule admissions and intake appointments for the following business day. When you are ready, we are ready.
